Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, nor is it before another press for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in the Microsoft Word, RTF, or OpenDocument file format.
  • Where available, URLs for the references have been provided.
  • The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines, which is found in About the Press.

Author Guidelines

1. INTRODUCTION

These Author Guidelines are prepared to assist authors in the preparation and submission of manuscripts for publication under Universiti Poly-Tech Malaysia (UPTM). Authors are required to comply with the prescribed academic writing standards, publication ethics, and formatting requirements to ensure high-quality scholarly publications.


2. TYPES OF PUBLICATIONS

UPTM accepts the following categories of publications:

  1. Original Books
  2. Edited Books
  3. Textbooks
  4. Teaching Modules and Training Manuals
  5. Research Reports
  6. Journal Articles
  7. Conference Proceedings
  8. Book Chapters
  9. Translation Works
  10. E-books and Digital Publications

3. LANGUAGE

Manuscripts may be written in:

  • Bahasa Melayu; or
  • English

The language used must be clear, formal, academic, and grammatically correct.


4. MANUSCRIPT FORMAT

4.1 File Format

Authors are encouraged to submit manuscripts in:

  • Microsoft Word (.doc/.docx)
  • PDF format

Accepted writing platforms include:

  • Microsoft Word
  • Google Docs
  • LaTeX
  • Canva
  • Adobe InDesign

4.2 Page Layout

Alignment Justified

4.3 Font

5. STRUCTURE OF MANUSCRIPT

5.1 Books / Modules / Research Reports

The manuscript should contain the following sections:

  1. Cover Page
  2. Title Page
  3. Copyright Page
  4. Table of Contents
  5. List of Tables and Figures
  6. Preface
  7. Acknowledgement
  8. Introduction
  9. Main Content
  10. Conclusion
  11. References
  12. Appendices (if applicable)
  13. Index (if applicable)
  14. Back Cover Blurb

5.2 Journal Articles

Journal articles should include:

  1. Title
  2. Author Name(s) and Affiliation
  3. Corresponding Author Information
  4. Abstract (150–250 words)
  5. Keywords (3–5 keywords)
  6. Introduction
  7. Literature Review
  8. Methodology
  9. Findings/Results
  10. Discussion
  11. Conclusion
  12. Acknowledgements
  13. Conflict of Interest Statement
  14. Author Contributions Statement
  15. Data Availability Statement
  16. Ethics Statement (if applicable)
  17. References (APA 7th Edition)

6. CITATION AND REFERENCES

  • Authors must use APA 7th Edition consistently.
  • All references cited in the text must appear in the reference list.
  • References should be arranged alphabetically.

7. TABLES, FIGURES, AND IMAGES

  • All tables, figures, charts, and illustrations must:
    • be clearly numbered,
    • include titles/captions,
    • be referred to within the text,
    • acknowledge original sources where applicable.

High-resolution images are encouraged.


8. ETHICS IN WRITING AND PUBLICATION

8.1 Originality

Submitted manuscripts must:

  • be original,
  • not have been previously published,
  • not be under consideration elsewhere.

8.2 Plagiarism

  • Plagiarism, data fabrication, and falsification are strictly prohibited.
  • Similarity index must not exceed 20%.

8.3 Authorship

Only individuals who have made significant academic contributions should be listed as authors.

The corresponding author is responsible for:

  • ensuring all co-authors approve the final manuscript,
  • handling all communication during submission and publication.

8.4 Copyright Permission

Authors are responsible for obtaining written permission for copyrighted materials including:

  • figures,
  • tables,
  • photographs,
  • lengthy quotations.

9. USE OF ARTIFICIAL INTELLIGENCE (AI)

AI tools may only be used for:

  • grammar checking,
  • basic translation,
  • bibliography formatting.

AI tools must NOT be used to:

  • generate main academic content,
  • produce findings or analysis,
  • replace authorship.

Authors must disclose any use of AI in the manuscript.

Example Statement:

“Technical assistance from AI software was used for language checking purposes only. All scholarly content remains the original work of the authors.”


10. SUBMISSION PROCESS

Authors must submit:

  1. Complete manuscript;
  2. Publication Application Form;
  3. Supporting documents (if applicable).

Submissions may be made via:

  • official UPTM email; or
  • designated e-journal/e-publication system.

11. REVIEW PROCESS

Books and Research Publications

  • Manuscripts will undergo editorial screening and expert review.

Journal Articles

  • Articles will undergo double-blind peer review.
  • Review outcomes:
    • Accepted
    • Minor Revision
    • Major Revision
    • Rejected

12. COPYRIGHT AND LICENSE

Publication rights and copyright ownership are subject to the official publication agreement between the author and UPTM.
